Custom event and group management software for hospitality
The client
Amalurra Ostatua is a hotel in Enkarterri (Bizkaia) that, alongside regular accommodation, hosts events and organised group stays. Every event has two sides to reconcile: the organiser's, who needs to know how their group is doing at all times, and each participant's, who has to communicate their details and preferences. Coordinating the two was until now manual work.
The challenge
Event management lived in spreadsheets, email threads and, above all, phone calls. Each participant has their own preferences and each group its own conditions, so the same information was repeated in several places and easily fell out of sync. Collecting everyone's data, keeping it current and answering the question «how is my group doing?» consumed hours of the team's time and depended on nobody making a copy-paste mistake. And since the information eventually has to reach other systems, every manual transfer was one more chance to introduce an error.
What we did
We built custom software that digitises the event from both sides: participants submit their own data and choices, and the organiser and the hotel see the status of the group and of every person in one place, without having to ask. The system includes room management and the import and export of data to the external systems they work with, so information is entered once and travels on its own instead of being retyped by hand.

Result
Event management no longer depends on spreadsheets or phone calls: the data comes from whoever holds it, is collected once, and both the organiser and the hotel check the group's status on the spot. For Amalurra that means hours of phone work and coordination they no longer spend, and a solid step forward in digitising the business.
